This is a non-represented, temporary position with the Pierce County Skills Center.


This position is to communicate information to students, parents, staff, higher education, employment agencies, and/or other districts; documenting information on students’ class placement; and performing specialized and responsible clerical and technical tasks related to the registration of students and maintenance of student records and files.



1. Performs enrollment and withdrawal activities within the automated student information system for the purpose of documenting and/or providing reliable student information.
2. Coordinates the electronic transmission of grades and comments at the completion of each semester for the purpose of ensuring accurate academic documentation.
3. Oversees withdrawal process including updating transcript with withdrawal grades ensuring their compliance with state and district grading laws and course credit systems.
4. Maintains a variety of files, documents and student records (manual and machine) (e.g. permanent student records, cumulative folders for all students, grades, transcripts, etc.) for the purpose of documenting and/or providing reliable student information.
5. Performs record keeping, report generation and other clerical functions to support administrators and/or staff.
6. Processes a variety of forms and materials.
7. Responds to inquires from various internal and external parties (e.g. staff, parents, students, public agencies, etc.) for the purpose of providing information, facilitating communication and/or providing direction.
8. Serves as a resource to students, employees and/or organizations for the purpose of interpreting and conveying appropriate procedures required for district operations.
9. Supports assigned administrators and/or staff for the purpose of assisting them in the completion of their work activities.
10. Attends suggested job related workshops/trainings/certification courses to maintain a level of proficiency necessary to perform job.

11. Answers phones and greets visitors; may provide a variety of office support to counselors/administrators; generate and distribute materials as requested; schedules appointments; maintain files.
12. Performs a variety of backup and peak load assistance at the PCSC.
13. Performs related duties consistent with the scope and intent of the position.

This position reports to assigned administrator; may receive guidance and/or direction from multiple personnel.

Meets strict deadlines and changes in reporting requirements; experiences frequent interruptions; may occasionally deal with distraught or difficult individuals.

Requires visual concentration; exposed to visual display terminal for prolonged period; potentially exposed to ordinary infectious disease carried by students; required to sit for prolonged periods, and occasional lifting boxes of student files.

Education and Experience
Education, training, skills, and experience necessary to carry out the assignment, including two (2) years of office experience, involving maintenance of computerized records. Completion of the Microsoft Office course with proficiency in Word, Excel and Mail Merge. Experience working with student records preferred.

Allowable Substitutions
Advanced training in secretarial or business procedures may substitute for up to one (1) year of the required experience on a year-for-year basis; and such other alternatives to the above qualifications that the district may find appropriate and acceptable.

• Establish and maintain effective working relationships with staff, students, parents and the public.

Licenses/Special Requirements
Requires fingerprinting and background check to determine that there have been no convictions involving physical molestation, abuse, injury or neglect of a minor. Must complete training in and adhere to district infection control plan.

• Working Hours - 7:00am-5:00pm (Hours will vary based on need)

• Position duration: May 1-August 2, 2013 (Actual work dates/hours may vary based on need)


Salary: $16.00/hour
